Job Overview
We’re looking for a detail-oriented and proactive Administrative Assistant to support day-to-day operations across HR, Payroll, Finance, and General Admin.
This role will lean heavily into U.S. payroll, benefits, and finance systems, with an emphasis on hands-on experience in tools like Ramp, Deel, and Justworks (PEO model). The ideal candidate has previously worked with U.S.-based teams or startups, understands payroll compliance (including state taxes and benefits), and is confident engaging with modern HR/Finance systems.
You’ll work closely with our internal operations team to manage payroll support, onboarding, vendor payments, recruitment coordination, and expense management—ensuring smooth internal operations during a period of transition.
Key Responsibilities
- Payroll & HR Operations
- Manage payroll processing through Justworks (PEO model) and ensure compliance with state tax requirements and employee benefits.
- Support international team payments via Deel.
- Assist in closing out old payroll accounts (e.g., Gusto).
- Create and update employee handbooks and HR documentation using available tools.
- Finance & Expense Management
- Process bills, reimbursements, and accounts payable using Ramp.
- Add new team members to Ramp and issue virtual/physical cards.
- Set up and process wire transfers with accuracy and attention to detail.
- Liaise with the accounting team to ensure accurate documentation flow.
- Onboarding & People Ops
- Coordinate new hire onboarding, scheduling, and documentation.
- Support benefit enrollment processes and compliance requirements.
- Recruitment Support
- Assist with interview scheduling, pipeline tracking, and candidate management.
- Support the transition from Lever ATS to Ashby ATS.
- Employee Programs
- Help administer Awardco (employee rewards & recognition platform).
- Assist with new HR initiatives and systems implementation.

RequirementsQualifications
- 3+ years of experience in administrative, HR, payroll, or finance-related roles (experience with U.S. startups strongly preferred).
- Hands-on experience with:
- Payroll systems: Justworks, Deel, Gusto, or similar.
- Expense management: Ramp (or similar, e.g., Brex, Bill.com).
- ATS platforms: Lever, Ashby, Greenhouse, or comparable.
- Recognition tools: Awardco (nice to have).
- Strong knowledge of U.S. payroll, benefits, and state tax processes.
- Comfortable working with wire transfers, billing, and vendor payments.
- Engaging, proactive, and confident in asking questions or suggesting improvements.
- Excellent time management and communication skills (Slack, Zoom, G-Suite).
Nice to Have
- Prior experience supporting U.S. payroll compliance projects (closing accounts, handbook generation, multi-state onboarding).
- Background in supporting distributed, cross-functional teams.
- Ability to quickly learn new HR/Finance systems and contribute during implementation.
