As Payroll and Benefits Specialist, you will be responsible for managing multi-state payroll operations, HRIS administration, employee data governance, and benefits programs while remaining compliant with all related regulations.

Responsibilities:
Multi-State Payroll
  • Oversee end-to-end payroll processing and ensure accuracy in all payroll-related functions for both the US and Croatia.
  • Manage complex multi-state payroll compliance including state-specific tax requirements, wage and hour laws, and reporting obligations.
  • Ensure compliance with federal, state, and local payroll tax requirements across all 28 states of operation.
  • Process payroll systems set up for new state registrations as business expansion occurs.
  • Coordinate state unemployment insurance, workers' compensation, and disability insurance across multiple jurisdictions.
  • Process payroll adjustments, bonuses, commissions, and other variable compensation across all locations.
  • Coordinate with accounting team for proper financial reporting and reconciliation.
  • Manage garnishments, tax levies, and other payroll deductions in accordance with state-specific laws.
  • Handle payroll-related inquiries from employees across all locations and provide resolution.
HRIS & HR Technology
  • Work with HR Team and selection committee on Payroll/HRIS system selection.
  • Manage new system implementation including data migration, system testing, and user training.
  • Oversee Payroll/HRIS system, ensuring accurate and efficient processing of employee data.
  • Serve as the primary source of HR data integrity, implementing and monitoring data validation protocols, audit trails, and quality assurance measures to prevent inaccurate data output.
  • Create and maintain SOX-compliant HRIS workflows and approval processes.
  • Provide Payroll/HRIS system training and support to employees, team members, and managers.
  • Generate standard and ad-hoc reports from HRIS for various stakeholders.
  • Troubleshoot system issues and coordinate with vendors for resolution.
  • Maintain accurate and up-to-date employee files/records.
Benefits Administration
  • Oversee comprehensive benefits administration and ensure employees are informed about their benefits options.
  • Manage open enrollment processes and ensure compliance with benefits regulations.
  • Serve as primary liaison with benefits vendors and brokers.
  • Process benefits enrollments, changes, and terminations in a timely manner.
  • Administer COBRA, FMLA, State Leave and other mandated benefit programs.
  • Manage benefits invoicing, reconciliation, and vendor relationships.
  • Provide benefits education and communication to employees.
  • Support wellness programs and voluntary benefits offerings.
  • Participate in special HR projects, initiatives and other tasks as assigned by management.
Requirements:
  • Bachelor’s degree in business management, human resources or related field
  • SHRM-CP, PHR, or similar HR certification preferred
  • Experience with Payroll/HRIS system selection and implementation strongly preferred.
  • 5-7 years’ experience in Human Resources including Benefits and multi-state payroll.
  • In-depth knowledge of HR policies, procedures, employment law, and best practices
  • Familiarity with multi-state labor laws
  • Exceptional communication skills, both verbal and written
