Job Title: Payroll Specialist

Job Summary:
We are seeking a meticulous and experienced Payroll Specialist to join our team. The Payroll Specialist will be responsible for auditing timecards daily, preparing payroll reports, and ensuring the timely and accurate submission of payroll data. Given the nature of our healthcare environment, this role will ensure compliance with healthcare labor laws, shift differentials, and other industry-specific regulations. The specialist will also play a critical role in preventing timecard fraud and supporting employees with payroll inquiries.

Key Responsibilities:
- Audit Timecards: Conduct daily audits of employee timecards, particularly monitoring for accuracy in healthcare shift patterns (e.g., overnight shifts, on-call hours, overtime), and detecting any discrepancies or irregularities that may indicate timecard fraud.
- Prevent Timecard Fraud: Implement measures to detect and prevent timecard fraud (e.g., buddy punching, false overtime) while ensuring accurate logging of shifts and hours in compliance with healthcare industry standards.
- Prepare Payroll Reports: Generate, analyze, and submit payroll reports, considering healthcare-specific factors such as shift differentials, bonuses, and compliance with any union agreements.
- Submit Payroll Data: Process and submit payroll data for each pay period, ensuring the timely payment of salaries for all healthcare staff, including hourly workers, clinical professionals, and administrative staff.
- Healthcare Labor Compliance: Ensure payroll processing complies with healthcare labor regulations, including managing overtime, holiday pay, and maintaining adherence to state and federal healthcare wage laws.
- Reconcile Payroll Accounts: Reconcile payroll data with financial accounts and ensure accurate tracking of staff hours, particularly for multi-shift workers and rotating schedules.
- Respond to Inquiries: Address and resolve payroll-related questions or issues from employees and management, providing clear communication about healthcare benefits, overtime pay, and deductions.
- Track Benefits and Deductions: Monitor and process employee benefits, healthcare-specific deductions, garnishments, and other payroll adjustments.
- Maintain Payroll Records: Ensure all payroll records and employee data are accurate, confidential, and updated regularly in compliance with healthcare regulations.
- Collaborate with HR and Accounting: Work closely with HR and Accounting departments to ensure seamless integration between payroll, healthcare staffing needs, and other financial functions.
- System Improvements: Identify opportunities for improvements in payroll processes, especially to address the complexities of healthcare labor scheduling and payroll processing.

Qualifications:
- Proven experience as a Payroll Specialist, preferably in a healthcare or similar regulated industry.
- Strong knowledge of payroll processes, regulations, and reporting, particularly related to healthcare.
- Familiarity with payroll fraud prevention strategies and timecard auditing techniques.
- Proficiency in payroll software (e.g., ADP, Paycom, etc.).
- Excellent attention to detail and analytical skills.
- Ability to handle confidential information with integrity.
- Strong communication and problem-solving skills.
- Familiarity with union agreements and shift differentials is a plus.
- Bachelor’s degree in Accounting, Finance, Human Resources, or related field is a plus!
- Must be able to work US business hours (PST)
