Reports To: Payroll & Compliance Manager
Classification: Exempt | Full-Time 

Position Summary:
The Payroll Specialist is responsible for full-cycle payroll processing for assigned locations and entities across multiple pay frequencies. This includes timekeeping oversight, data validation, payroll submission, post-processing audits, and year-end reporting. The Payroll Specialist also manages W-2 and 1099 generation through Paylocity and provides first-line support to employees regarding payroll matters. 

Key Responsibilities: 

  • Fully manage payroll processing from timecard review to final submission for assigned companies/pay groups. 
  • Audit and validate all timekeeping records for accuracy, including corrections, PTO tracking, and garnishment inputs. 
  • Prepare and submit payroll through Paylocity, ensuring timeliness and accuracy. 
  • Review post-payroll outputs (e.g., direct deposit reports, payroll registers) and flag discrepancies for resolution. 
  • Monitor timecard compliance and coordinate with supervisors to resolve issues prior to submission. 
  • Handle employee inquiries related to pay, deductions, timekeeping, and leave balances. 
  • Support year-end payroll tasks, including preparing for and executing W-2 and 1099 processing through Paylocity. 
  • Maintain payroll records and documentation to support audits, reconciliations, and compliance requirements. 
  • Assist in onboarding new hires to timekeeping and payroll systems, ensuring data integrity from the start. 
  • Lead payroll preparation for year-end, including coordination of W-2 and 1099 filings. 
Requirements

 

Qualifications: 

  • 2–4 years of hands-on payroll experience, including multi-state processing and year-end tasks. 
  • Strong knowledge of Paylocity (or equivalent system), including payroll and tax reporting tools. 
  • Demonstrated ability to learn new software platforms quickly. 
  • Exceptional attention to detail and accuracy in all aspects of timekeeping and payroll processing. 
  • Clear and professional communication skills; able to collaborate effectively across HR, Finance, and operations. 
  • Strong organizational skills and ability to manage deadlines in a fast-paced environment. 
  • Familiarity with wage garnishments, PTO policies, and W-2/1099 compliance requirements. 
  • Experience with specialty payroll such as Construction, Union, GovCon (SCA/DBA) preferred.
