Temporary Payroll Specialists (Leave Management)! You’ll be responsible for accurately administering Paid Time Off (PTO) for employee leaves of absence in accordance with company policy, union agreements and applicable state regulations. This position plays a critical role in supporting absence management by ensuring timely and accurate timekeeping entries within the UKG (Ultimate Kronos Group) Time and Attendance (UTA) system.

The ideal candidate has at least 1+ years of payroll processing and timekeeping experience, coupled with a foundational understanding of systems, coding and leave management processes.
Key Responsibilities:

    Accurately administer PTO within 24 hours of intake for eligible leaves such as:
        Short-Term Disability (STD) Elimination Period
        Unpaid FMLA and State Leaves of Absence
         
    Apply PTO based on specific administration guidelines, such as:
        PTO Utilization Hierarchy for Non-Union employees
        Union-specific PTO guidelines
        State-specific handling (e.g., CT and WI leave administration)
         
    Manage multiple leave types while excluding:
        Workers Compensation
        Unpaid Personal Leave
        Long-Term Disability
         
    Utilize UKG’s UTA system to:
        Input and track time-off accurately
        Deplete appropriate PTO buckets based on hierarchy and employee selections
        Monitor and update vacation, personal holiday, caregiver, and sick leave balances
         
    Coordinate closely with claims examiners and employees to apply leave decisions, including:
        Responses to custom PTO utilization questions during claim intake
        Voluntary PTO usage beyond required minimums
         
    Maintain compliance with policies including:
        Mandatory PTO utilization during unpaid FMLA for Non-Union employees
        7-day elimination period rules
        Prohibitions on concurrent PTO usage with paid benefits (e.g., STD, military leave, parental leave)
         
    Provide support for union-specific leave rules, based on group-specific guidelines and responses collected during intake
     
    Maintain records and audit timekeeping entries for accuracy and compliance with internal and external policies
     
    Collaborate with HR, Payroll, Benefits, and Leave Management teams to resolve discrepancies and improve processes
     
    Stay updated on relevant federal, state, and local leave regulations


Additional Qualifications/Responsibilities
    High School diploma or GED certificate
    1+ years of experience in payroll processing or timekeeping support; preferably in a leave management or HR operations environment
    Proficiency with timekeeping and payroll systems, preferably UKG (Ultimate Kronos Group)
    Foundational experience with system-based rules/coding for time-off or payroll processing
    Understanding of FMLA, STD, and PTO leave structures
    Familiarity with union vs. non-union leave policies and related administrative processes
    High attention to detail and strong organizational skills
    Strong communication and interpersonal skills
    Ability to maintain confidentiality and handle sensitive employee information
    Experience working in a shared services or leave administration team is preferred
    Knowledge of multi-state employment laws relating to time off is a plus
    Familiarity with claims processing systems and absence case management tools is preferred

Training:

    Hours: Monday - Friday | 8am - 5pm EST
    4 weeks in length

Post-Training Schedule: 

    Core Hours: Monday - Friday | 8am - 5pm EST with flexibility to respond to time-sensitive cases

Pay: $20 per hour
